Rebalance Careers Pty Ltd(ABN 53 695 329 152) (“Rebalance Careers”, “we”, “us” or “our”) operates the Rebalance Careers website, platform and related services (the “Platform”), an Australian flexible-work marketplace that connects job seekers seeking flexible and balanced work with employers who offer it.

We are committed to protecting your privacy and handling your personal information openly and transparently. This Privacy Policy explains how we collect, hold, use, disclose and protect personal information, and how you can access and correct it. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

By accessing or using the Platform, or by providing personal information to us, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with it, please do not use the Platform. This Privacy Policy forms part of, and should be read together with, our Terms of Service.

1. Who this policy applies to

This Privacy Policy applies to all users of the Platform and to anyone whose personal information we collect, including:

  • Job Seekers– individuals who create a profile, upload a résumé/CV, search for roles, apply for jobs, or set up job alerts.
  • Employers and their representatives– individuals acting for organisations that advertise roles, search for job seekers, or subscribe to Rebalanced Certified.
  • Visitors– individuals who browse the Platform without an account.
  • Other individuals– referees, contacts, and people whose details are provided to us by others (for example, within a résumé).

This policy does not apply to the privacy practices of employers, third-party websites or other organisations to which we may link or transfer information. Those parties have their own privacy policies, and you should review them separately.

2. The kinds of personal information we collect

The personal information we collect depends on how you interact with us. We collect the following kinds of information:

Usage & technicalIP address, device and browser type, operating system, referring pages, pages viewed, search terms, clicks, and the dates/times of your activity.
Cookies & identifiersCookie identifiers and similar technologies used to keep you signed in, remember preferences and measure usage (see section 5).
CommunicationsMessages, enquiries, support requests, survey responses and feedback you send to us or exchange with other users through the Platform.

Sensitive information. We do not generally seek sensitive information (such as health, racial or ethnic origin, or other special categories). Where flexibility needs, accessibility requirements or similar details are relevant to a role, you choose whether to disclose them. If you include sensitive information in your profile or an application, you consent to us collecting and handling it for the purposes described in this policy.

3. How we collect personal information

Directly from you

  • When you create or update an account or profile, or upload a résumé/CV.
  • When you apply for a role, message another user, or set up job alerts.
  • When you post a job advertisement, search for job seekers or subscribe to Rebalanced Certified.
  • When you contact us, complete a form, respond to a survey, or make a payment.

Automatically

  • Through cookies, server logs and analytics tools when you use the Platform (see section 5).

From third parties

  • From employers or job seekers who reference you (for example, a referee named in a résumé).
  • From service providers who help us deliver the Platform, including our payment provider, hosting, analytics and identity/verification providers.
  • From publicly available sources or social/professional networks where you have made information available and where permitted by law.

If you provide personal information about another individual (such as a referee), you must ensure you are authorised to do so and that they are aware of this Privacy Policy.

Where it is lawful and practicable, you may deal with us anonymously or using a pseudonym – for example, when making a general enquiry. However, we cannot provide most Platform features (such as applying for roles or posting jobs) without the information needed to deliver them.

4. Why we collect, hold, use and disclose your information

We collect, hold, use and disclose personal information for purposes connected with operating the Platform and our business, including to:

  • Create, verify and administer your account, and authenticate your access.
  • Operate the marketplace – enabling job seekers to discover and apply for roles, and employers to advertise roles and review applicants.
  • Facilitate communications and applications between job seekers and employers.
  • Provide, personalise and improve job matching, search results, recommendations and alerts.
  • Administer the Rebalanced Certified program, including assessment, verification, badge display and the associated charity contribution.
  • Process payments, issue invoices and receipts, and manage subscriptions and renewals.
  • Provide customer support and respond to enquiries, feedback and complaints.
  • Maintain the security and integrity of the Platform, prevent and investigate fraud, misuse and breaches of our Terms.
  • Conduct analytics and research to understand usage and improve our services.
  • Send you service communications and, where permitted, marketing about features, content and offers (see section 6).
  • Comply with our legal obligations and respond to lawful requests from regulators, courts and authorities.

We will only use or disclose your personal information for a purpose for which it was collected, for a directly related secondary purpose you would reasonably expect, or where you have consented or we are otherwise permitted or required by law.

5. Cookies and similar technologies

We and our service providers use cookies, pixels, local storage and similar technologies to operate and improve the Platform. We use them to:

  • Keep you signed in and remember your settings and preferences (essential cookies).
  • Measure and analyse how the Platform is used, so we can improve performance and content (analytics cookies).
  • Deliver and measure relevant content and, where applicable, advertising (functional/advertising cookies).

Most browsers let you control or delete cookies through their settings. If you disable cookies, some parts of the Platform may not function properly. Where required, we will seek your consent for non-essential cookies via a cookie banner or settings tool.

6. Direct marketing and your choices

We may send you marketing communications about the Platform, including job recommendations, feature updates, content and offers, where you would reasonably expect this or where you have consented. We handle marketing in accordance with the APPs and the Spam Act 2003 (Cth).

Every marketing email includes an unsubscribe option, and you can also manage your communication preferences in your account settings or by contacting us. Service and transactional messages (such as account, security, billing and application notifications) are not marketing and may still be sent while you hold an account.

7. Profiles, résumés and visibility

Your profile and the information you choose to share are central to how the Platform works. You should be aware that:

  • When you apply for a role, the relevant employer receives your application, profile information and any résumé/CV or documents you submit.
  • Depending on your visibility settings, employers may be able to search for and view job seeker profiles. You can adjust these settings, and you control much of the content you make visible.
  • Information you post in public areas of the Platform, or share directly with another user, may be seen, copied or stored by that recipient outside our control.
  • Once an employer receives your information, their handling of it is governed by their own privacy practices, not this policy.

You can edit or remove most profile content at any time through your account. Removing content from your profile does not require recipients who already received it to delete their copies.

8. When we disclose personal information

We disclose personal information only as described in this policy. We may disclose it to:

  • Other users– job seekers and employers, to facilitate applications, communications and recruitment, consistent with your settings and actions on the Platform.
  • Service providers– organisations that help us operate the Platform, including hosting and cloud infrastructure, payment processing (Stripe), email delivery, analytics, customer support, identity/verification, and security providers. These providers are authorised to use personal information only to perform services for us.
  • Professional advisers– our lawyers, accountants, auditors and insurers, where reasonably required.
  • Authorities and other parties– regulators, law enforcement, courts or others where required or authorised by law, to enforce our Terms, or to protect the rights, safety and property of Rebalance Careers, our users or the public.
  • Business transactions– a purchaser or successor in the event of a sale, merger, restructure or transfer of our business or assets, subject to appropriate confidentiality protections.

We do not sell your personal information.

9. Overseas disclosure

Some of our service providers may store or process personal information outside Australia, including in the United States and other countries where our providers operate cloud infrastructure. Where we disclose personal information overseas, we take reasonable steps to ensure it is handled consistently with the APPs, including through contractual protections. By using the Platform, you acknowledge that your information may be processed in these locations.

10. How we protect your information

We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. These steps include encryption in transit, access controls, secured infrastructure, and internal policies and training. We use Stripe, a PCI-DSS compliant provider, to handle card payments.

No method of transmission or storage is completely secure. While we work to protect your information, we cannot guarantee absolute security, and you provide information to us at your own risk. You are responsible for keeping your account credentials confidential.

11. Data breaches

We maintain procedures to detect, assess and respond to data breaches. If a breach is likely to result in serious harm to affected individuals, we will notify those individuals and the Office of the Australian Information Commissioner (OAIC) as required by the Notifiable Data Breaches scheme under the Privacy Act.

12. How long we keep your information

We keep personal information only for as long as it is needed for the purposes described in this policy, or as required by law (for example, tax, financial and record-keeping obligations). When information is no longer required, we take reasonable steps to securely delete or de-identify it. We may retain de-identified and aggregated information indefinitely for analytics and product improvement.

13. Accessing and correcting your information

You can access and update much of your personal information directly through your account settings. You may also request access to, or correction of, the personal information we hold about you by contacting us using the details in section 16.

We will respond to access and correction requests within a reasonable period and in accordance with the APPs. In limited circumstances we may decline a request (for example, where access would be unlawful or affect the privacy of others); if we do, we will explain why in writing and how you can complain.

14. Children and minimum age

The Platform is intended for individuals aged 18 years and over and is not directed at children. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, please contact us so we can take appropriate steps to remove it.

15. Third-party links and services

The Platform may contain links to, or integrate with, third-party websites and services (including employer websites and payment pages). We are not responsible for the privacy practices or content of those third parties. We encourage you to review their privacy policies before providing personal information to them.

16. Complaints and how to contact us

If you have a question, request or complaint about how we handle personal information, please contact our Privacy Officer:

We will acknowledge your complaint and aim to resolve it within a reasonable time. If you are not satisfied with our response, you may refer your complaint to the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au, by phone on 1300 363 992, or by post to GPO Box 5288, Sydney NSW 2001.

17. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology or legal obligations. The current version will always be available on the Platform with its effective date. Where changes are significant, we will take reasonable steps to notify you, such as by posting a notice on the Platform or emailing you. Your continued use of the Platform after an update takes effect indicates your acceptance of the revised policy.
